K E Y R E S P O N S I B I L I T I E S 1 Reception, Visitor Management, and Communications Man the ICD reception desk professionally during all business hours, receiving every visitor with a courteous and professional greeting that reflects CCTL's service standard. Register all visitors in the visitor management system and co-ordinate their access with the In-Charge – Security before granting entry. Manage the ICD's telephone switchboard professionally, answering all calls promptly, transferring calls to the correct person, and taking complete and accurate messages. 2 Executive Support, Records, and Administration Provide high-quality support with schedule management, meeting scheduling, preparation of agendas and minutes, and document preparation. Maintain the ICD's administrative filing system — both physical and digital — in a well-organised, consistently indexed, and immediately retrievable manner. Manage and replenish all office stationery, printing consumables, and administrative supplies through timely procurement requests. Any other tasks assigned. Q U A L I F I C A T I O N S A N D R E Q U I R E M E N T S REQUIREMENT DETAIL Minimum Education Diploma in Secretarial Studies, Office Management, or Business Administration; Bachelor's Degree is a strong advantage Experience Minimum 4 years' experience in a front-desk, reception, or executive secretarial role in a professional business environment Communication Excellent verbal and written communication in English — non-negotiable; Swahili is a strong advantage Computer Proficiency Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook Confidentiality High degree of discretion in handling confidential business information and management communications
